How to Cold Email a Professor for a Research Internship
You want a spot in a lab. You have no connection to the professor, no family friend in the department, and no idea whether emailing a stranger with tenure is normal or insane. So you either send nothing, or you send the email every professor has already deleted a hundred times: "Dear Professor, I am very interested in your research and would love an opportunity to work in your lab."
I'm Amrik, a sophomore at Penn and a startup co-founder. This spring I ran an experiment: I sent 45 cold emails to companies I had zero connection to, including a defense startup and a bunch of firms whose founders had no reason to know I existed. 44 emails delivered. 8 founders and executives replied within 48 hours. One more reply came through LinkedIn after an email bounced. I want to be straight with you up front: my proof is from startups, not labs. I have not run this exact campaign on 45 professors. But I've spent a lot of time studying why those 8 busy people replied, and the structure that worked on them maps almost perfectly onto research outreach, because professors and founders share the same core problem. They are drowning in generic messages from people who want something.
Here is the whole system, applied to labs. You can act on every piece of this without paying me anything.
Why professors delete most student emails on sight
A PI at any decent research university gets a steady stream of emails from students. Most of them are functionally identical: a paragraph of praise for "your fascinating research" (no paper named), a paragraph about the student's GPA and coursework, and a request for "any opportunities in your lab."
The professor can tell within one line whether you actually know what their lab does. If you don't, the email is spam with a .edu address, and it gets treated like spam. This is not because professors are mean. It's because attention is the scarcest thing they have, and a generic email is a request for their attention that spent none of yours.
The founders who replied to me all responded to the same thing: evidence that I had done real homework on them specifically, followed by a small, easy ask. That's the entire trick. Everything below is just the details of executing it.
Step 1: Read their recent papers before you write a single word
Not the lab's homepage. Not the "Research" tab that was last updated three years ago. Their actual recent papers, meaning something from the last 12 to 18 months.
Here's the process I'd use:
- Find the PI on Google Scholar and sort by year.
- Pick one or two recent papers where they're a senior author.
- Read the abstract, the intro, and the discussion. You don't need to understand every method. You need to understand what question they were asking and what surprised them.
- Write down one specific thing that genuinely interested you: a result, a technique, an open question they flag in the discussion.
That one specific thing becomes the first real line of your email, and it does more work than everything else combined. When I emailed founders, my opening line always proved I knew something about their company that wasn't on the front page of their website. That line is why my emails got read past the first sentence. A professor reading "your work on X was fascinating" learns nothing. A professor reading a sentence that could only have been written by someone who read their March paper learns everything they need to know about you.
Budget 30 to 45 minutes per lab. Yes, that limits how many labs you can email in a day. That's the point. Ten researched emails give you a far better shot than a hundred generic ones, and the generic ones can actually hurt you, because departments talk.
Who to email: the PI or a grad student?
Email the PI. They make the decision about who joins the lab, and a good email to a decision-maker beats a good email to someone who has to forward it.
But there are two cases where a grad student or postdoc is the better first move:
- The PI is famous. If the lab head gives TED talks and runs a 40-person group, your email is competing with hundreds of others. The grad student whose paper you actually read gets far less mail and often has real influence over who gets brought on to help with their project.
- You're specifically interested in one project. If one grad student's work is the thing you care about, email them directly, say so, and ask about their project. If the conversation goes well, they can often walk you into the PI's inbox, which is worth more than arriving cold.
Whichever you choose, only email one person in a lab at a time. Emailing the PI, two postdocs, and a grad student on the same day looks exactly like what it is.
One practical problem: professors' emails are usually public, but grad students' often aren't, and if you branch out to industry labs or startups, almost nobody's is. The template
Here's a complete example, built on the same structure I used with founders: short, one true specific line proving you did the reading, one credibility line, one small ask.
Subject: Question about your 2026 paper on electrode spacing
Hi Professor Okafor,
I read your January paper on microbial fuel cells for wastewater treatment, and the result that stuck with me was electrode spacing mattering more than surface area. I'd assumed the opposite, and I went back through the methods section to see why.
I'm a sophomore at [school] studying [major]. Last semester I built a small data pipeline for a [class/club] project analyzing [something concrete], so I'm comfortable with [one relevant skill].
I'd like to understand how your lab thinks about scaling this beyond the bench. Would you be open to a 15-minute call in the next couple of weeks? If your lab ever takes undergrads for summer work I'd love to be on your radar, but the call would be valuable to me either way.
Thanks for your time,
[Name]
Why each piece is there:
- The first line is unfakeable. It names the paper, names the finding, and includes a reaction ("I'd assumed the opposite") that a mass email could never contain. This is the line you spend your 45 minutes of reading on.
- The credibility line is one sentence, and it's concrete. Not your GPA, not a list of courses. One thing you built, analyzed, or did. If you're in high school and have less to point to, name the most concrete thing you have: a science fair project, a dataset you cleaned, a course project you actually finished.
- The ask is 15 minutes, not a job. Nobody hires a stranger off one email, so don't ask them to. A 15-minute call is easy to say yes to, and it's where the real opportunity conversation happens. Notice the email is honest that you're interested in summer work. Hiding your intent reads as manipulative. Leading with a small ask while being upfront about the bigger one reads as respectful.
- The whole thing is under 150 words. Every founder who replied to me got an email they could read entirely inside the notification preview. Professors read email on their phones between meetings too.
Subject lines that don't look like spam
The subject line's only job is to not get you deleted unread. The ones that survive look like emails from a colleague, not a campaign:
- "Question about your 2026 paper on [topic]"
- "Your [journal] paper on [specific finding]"
- "[Specific technique] question from a [school] undergrad"
The ones that die instantly: "Research Opportunity Inquiry," "Prospective Undergraduate Researcher," "Internship Application," anything with an exclamation point, and anything that could be sent to fifty professors unchanged. If your subject line contains no information specific to this one person, rewrite it.
When to send
Weekday mornings. Aim for the email to land between about 7 and 9 a.m. in the professor's time zone, Tuesday through Thursday, so you're near the top of the inbox when they do their first email pass of the day. Avoid Monday mornings (you're buried under the weekend pile) and Friday afternoons (you're forgotten by Monday). Also check the academic calendar: emailing during finals week or the week grants are due is a coin flip at best. The first weeks of a semester, when PIs are actually thinking about who will work on what, are better.
My 8 replies came inside 48 hours, and that pattern seems to be general: busy people either respond fast or not at all. Which brings up the last rule.
The follow-up rule
No reply does not mean no. It usually means your email arrived at a bad moment. So: one follow-up, three to five business days later, and then you stop.
The follow-up is two sentences in the same thread: "Hi Professor Okafor, just floating this back to the top of your inbox in case it got buried. Happy to work around your schedule if a call is easier later in the semester." That's it. No guilt, no "I know you're busy but," no restating the whole pitch.
One follow-up is persistence. Two is pressure. Three is a reputation problem in a department where people talk to each other. Send your one follow-up, and put your energy into the next lab on your list.
